We are seeking a highly organized and detail oriented Executive Assistant to join our team in Ottawa!


The Executive Assistant role encompasses a wide range of duties, some of which include; supporting and leading various initiatives and projects, supporting senior level management daily, reporting and tracking with ongoing executive administration. 


Overview of Responsibilities:


  • Assist Executive with administrative tasks, including calendar and email management
  • Outstanding coordination of materials, information, organizational and time management skills with an ability to multi-task, prioritize tasks, deliverables and meetings
  • Act as a point of contact, a liaison for the business, communicating and acting in a supporting capacity in a variety of administrative ways  
  • Maintenance, updating, and tracking of all correspondence
  • Assistance with presentation creation and execution
  • Process various information and data; prepare, maintain and track correspondence and documents
  • Develop and prepare reports, informational material and assist with special projects
  • Ensure efficient and timely workflow of information into and out of the department; with an emphasis on meeting scheduled deadlines and/or target dates
  • Coordinate and arrange a variety of meetings (customer visits, departmental meetings, etc.)
  • Developing business acumen in order to anticipate needs (e.g., independently anticipating the next step in a process, prompting the appropriate people, being resourceful and one step ahead)
  • Coordinate and co-facilitate internal and external meetings, as required
  • Work collaboratively with team members to improve processes and streamline work in collaboration with the broader Executive Assistance team

Qualifications and Experience:


  • 5-10+ years of experience at the executive level
  • Strong written and verbal English communication skills
  • Experience supporting senior management
  • High degree of professionalism and confidentiality
  • Independent, and self-motivated with ability to work autonomously
  • Strong organizational skills, with strong prioritization
  • Ability to work on multiple projects simultaneously
  • Proven strong ability in executive level office administration, with advanced skills in MS Office
  • Previous administrative, support experience within the construction or development industry a plus, but not required
